Interior Design Administration Support

Offshore Virtual Assistants, a very respected Australian outsourcing company, is looking for experienced Interior Design Administration Support.

We are seeking someone to join our client and their growing team in the interior design industry! They are looking for a motivated and detail-oriented individual to provide administrative support to their interior design projects. This role offers a fantastic opportunity to work closely with a creative team, managing the day-to-day operations and ensuring smooth execution of design projects.

Key Responsibilities:

  • Manage project schedules, client appointments, and job timelines
  • Handle client communication via email and phone, providing timely updates
  • Assist with project administration, including invoicing, data entry, and document management
  • Process supplier invoices and ensure accurate coding to jobs
  • Maintain and organise digital files and documentation, such as contracts, drawings, and specifications
  • Prepare and maintain product specification documents in Excel and order materials as needed,
    • Research and add precise measurements, product specifications (handles, appliances, finishes), and images for each project.
    • Ensure documents are 100% accurate, as they form the basis of the contract for builders and clients.
    • Facilitate the client sign-off process, as documents are then laminated and left on the job site for builders to reference
  • Cross-check design details with project plans to ensure accuracy and consistency
  • Support social media management, including content creation and scheduling posts ( LinkedIn)
  • Assist with general office tasks such as report generation, scheduling meetings, and coordinating with suppliers and vendors

Qualifications:

  • Previous experience in an administrative role, preferably in the interior design or architecture industry
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools
  • Knowledge of invoicing systems such as Xero (preferred)
  • Strong organizational skills with a keen eye for detail
  • Excellent English written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Familiarity with design tools like AutoCAD, Revit, or SketchUp (a plus but not required)
  • Ability to work independently and meet deadlines
