IMMIGRATION PARALEGAL & ADMIN ASSISTANT

Location: Remote – Philippines
Employment Type: Full-time, 40 hours per week
Schedule: 9 AM-6 PM AEST, including one hour unpaid lunch break and two 15-min paid breaks 

Offshore Virtual Assistants (OVA) is a highly respected outsourcing company based in Sydney, providing long-term remote staffing support to businesses.

Our client is a Sydney-based migration agency providing immigration and visa services to individuals, families, and businesses across a wide range of Australian visa categories, including employer sponsorship and skilled migration.

We are seeking an experienced and detail-oriented Immigration Paralegal & Administrative Assistant to support a busy migration practice. This role is primarily focused on end-to-end case support using Migration Manager, including document collection, drafting support, application preparation, and internal coordination.

The successful candidate must be confident working independently, highly organised, and able to communicate clearly and proactively. Accuracy and critical thinking are essential, as migration work requires careful document review and strong attention to detail.

Responsibilities

Migration Casework Support (Primary)

  • Provide high-quality paralegal support to migration agents/lawyers and administrative leadership.
  • Manage casework in Migration Manager end-to-end (non-negotiable):
    • Create/maintain matters, contacts, and workflows
    • Upload, organise, and label documents and evidence
    • Maintain file notes, correspondence logs, and task tracking
  • Draft and/or prepare:
    • Client correspondence and document requests
    • Letters, checklists, statements, and supporting documentation packs
    • Draft submissions/templates as directed
  • Assist in preparing sponsorship, nomination and visa-related applications and supporting packs with a strong quality control mindset, ensuring accuracy and completeness.
  • Review client-provided documents critically and flag issues early (missing items, inconsistencies, poor-quality references, unclear evidence).
  • Ensure all assigned tasks are completed by agreed deadlines

    and aligned to client critical dates.

Administration & Back-Office Support

  • Prepare administrative documentation such as cost agreements, invoices, and internal forms.
  • Support internal coordination across multiple stakeholders (e.g., office manager/lead team member + principal).
  • Maintain organised digital filing and consistent naming conventions (within Migration Manager and associated storage).
  • Support process documentation (basic SOPs/checklists) as the practice refines workflows
  • Assist in visa expiry dates management.

Light Marketing & Business Social Media  Support- Secondary / Fill-in Work 

  • Assist with basic social media marketing administration, such as:
    • Drafting or formatting content (as directed)
    • Scheduling/organising posts or updates (if required)
    • Maintaining a simple content list/calendar and compiling assets
    • Emailing potential candidates and companies with a focus on meeting skill shortages and linking candidates to these companies  – guidance and material to be provided 
    • Assist with blog creation for our website under our guidance.
  • Coordinate with internal support (strategy may be provided) and execute tasks consistently.

(Note: This is not a marketing specialist role; guidance will be provided.)

Qualifications

Essential

  • Proven experience working in an Australian migration environment (migration agency, immigration practice, or closely related). Minimum 2 years experience. 
  • Strong working knowledge of Migration Manager (must be able to manage cases confidently).
  • Excellent written and verbal English communication.
  • High attention to detail with the ability to produce accurate, professional documents.
  • Strong time management and ability to work with deadlines.
  • Proactive communicator—able to flag issues early and follow up confidently when input is needed.
  • Mature and independent worker showing confidence in working proactively in a close team.

Desirable

  • Prior paralegal experience in migration or administrative law.
  • Experience preparing employer-sponsored visa documentation (e.g., 482/186 pathways) or similar case types.
  • Basic marketing coordination exposure (social content admin, light coordination).
  • Marketing interest.
