Conveyancing ASSISTANT

Offshore Virtual Assistants (OVA), a well-respected Australian outsourcing provider, is seeking a proactive and organised Conveyancing Assistant to support one of our Australian clients. 

Our client is a boutique Australian law firm specialising in conveyancing, property law, commercial law, wills and estates, and related legal services across Queensland. The firm is known for delivering practical, professional, and client-focused legal support with a modern and personalised approach. Their team focuses heavily on residential and commercial conveyancing matters and prides itself on providing efficient, easy-to-understand service to clients. 

This role will primarily support the conveyancing side of the business and assist with managing increasing file loads, administrative workflows, and day-to-day conveyancing support tasks within a Microsoft-based environment.

We are seeking a detail-oriented and reliable Conveyancing Assistant to provide administrative and operational support to the business owner. The role will involve handling conveyancing administration, file management, task coordination, and post-settlement support using LEAP, Microsoft Outlook, PEXA, and related systems.

The successful candidate will work closely with the business owner to help streamline workflows and maintain efficient file management processes.

 

Roles and Responsibilities:

Conveyancing & Administration Support

  • Opening new conveyancing files in LEAP
  • Preparing and updating contracts and conveyancing documents
  • Conducting accurate data entry and file management
  • Preparing Conveyancing First Letters for Queensland matters
  • Preparing final letters and settlement-related correspondence
  • Assisting with post-settlement tasks and file follow-ups
  • Monitoring and following up due dates and outstanding items
  • Supporting day-to-day conveyancing administrative tasks
  • Assisting with general legal administration support as required

 

Task & Workflow Management

  • Managing tasks through Microsoft Outlook Tasks
  • Updating task statuses and completion reports
  • Assisting with workflow coordination and file progress tracking
  • Maintaining organised digital records and documentation
  • Supporting workflow improvements and process efficiency

 

Experience & Qualifications: 

  • Minimum 2 years of experience in Australian conveyancing administration or legal support
  • Experience with Queensland conveyancing processes preferred
  • Experience using LEAP and PEXA is highly regarded
  • Strong attention to detail and organisational skills
  • Ability to manage multiple tasks and deadlines
  • Excellent written and verbal English communication skills
  • Solid experience working within a Microsoft-based environment
  • Ability to work independently while following processes and instructions
