Bookkeeping Virtual Assistant

Offshore Virtual Assistants, a very respected Australian outsourcing company, is looking for a bookkeeper/ experienced personal assistant  for our client, who runs a successful Xero-based bookkeeping business in Australia. She also provides a management reporting service and helps clients with process automation efficiencies. A great opportunity for you  to work in this varied role.

We are looking for an experienced bookkeeper who is also keen to assist in the growth of this company by supporting the owner with the office administration and documenting procedures.

You will be responsible for client bookkeeping tasks, assisting with administration and implementing processes using The Pure Bookkeeping System to free up the owner’s time and assist in growing the business.

Roles and Responsibilities:

PRIMARY ROLE 

Bookkeeping tasks and administration

  • Xero bookkeeping tasks for various clients across various industries – data entry, bank reconciliations, debtor and creditor reconciliations.
  • Checking Australian Tax Office (ATO) lodgements and due dates for follow-ups especially Superannuation due dates and BAS returns
  • Checking Balance sheet items ie accruals, prepayments, ATO clearing accounts, suspense, wages reconciliations, end of year financial journals, superannuation accounts reconciliations
  • Processing bank feed transactions in Xero by coding to correct category
  • Payroll and Job allocations for time spent
  • Email management for various clients
  • Update supplier contacts in Client Xero files to ensure all details are complete including address and ABN 
  • Set up new clients, jobs and workflows in The Pure Bookkeping System
  • Flagging transactions you are unsure of, or have no receipt
  • Chase clients for bank statements and prepare answers to queries

SECONDARY ROLE

Office/Accounts Administration tasks

  • Helping to implement SOP and process documentation for the office in The Pure Bookkeping System 
  • Manage digital filing systems to ensure everything is correctly labeled and archived as require
  • Customer Service via email management 
  • Diary, calendar and email management (no incoming phone calls)
  • Formatting documents
  • Attend Zoom meetings client and take notes and  prepare email of action items
  • Administration with sending out BAS, IAS, monthly management reports, proposals (sending documents to obtain digital signature)

OTHER DUTIES as required to assist in the growth of the company and be an important team member

Industry-related experience: 

Previous experience working for an Australian accountant or bookkeeping business will be highly regarded.

Required Qualifications:

  • Degree in Business or accounting or equivalent
  • At least 2 years of Industry experience in bookkeeping
  • Must be available to work during Australian Eastern Standard Time business hours from 9AM- 6PM or 7AM-4PM Philippine time. 

Tools and Software:

  • Xero or Quickbooks experience
  • Workflow Management system or equivalent
  • Knowledge of Excel, word
  • Google suite
