Travel agent administrator

Offshore Virtual Assistants, a well respected Australian Outsourcing company, are looking for an experienced travel administrator to join our Australian client’s growing team of travel agents. Aim is  to provide administration and operational support for their group’s team in the creation of inspirational travel experiences.

An exciting opportunity to work with a team of passionate travel professionals.The role extends to every stage of the travel journey, from the very start of the client’s enquiry to the phone call our clients receive from us when they get back from their holiday.

Duties and Responsibilities:

Travel Booking Tasks

  • Reservation Management – data entry 
  • Managing changes and cancellations
  • Airline sourcing and booking 
  • Ticketing of flights
  • Delivering price quotes
  • Comparing and quoting insurance options
  • Sourcing best accommodation prices
  • Sending out tickets and itineraries
  • Creating branded itinerary reports, send and follow up with clients
  • Reconfirming hotel reservations, contacts and requests

Customer Service Tasks

  • Advising on documents required insurance, visa’s, vaccinations, passport etc
  • Changes and cancellation updates 
  • Managing client personal information in CRM and travel history
  • Sending pre-departure reminders, email
  • Welcome home messages and collecting testimonials

General Administration Tasks

  • Email management – filtering emails, spam folders
  • Calendar Management, scheduling appointments, reminders etc
  • Task and project management
  • Creating processes and procedures
  • File management and storage
  • Researching for new ideas
  • Other general tasks you need

Financial Tasks – Travel Agency related

  • Processing Payments to suppliers 
  • Requests for refunds / changes
  • Check commission reports balanced
  • invoice for commissions to be released
  • Invoicing and tracking Commissions paid

Social Media and website management 

  • Shopify website tasks (adding stock, updating copy, sorting collections/tags to improve visibility)
  • Social Media monthly posts
  • Email Direct Marketing – 1-2 emails a month

Qualifications and Experience/Skills Required

  • Previous experience as a VA and or travel consultant for Australian clients 
  • University Degree in related industry 
  • Excellent English communication skills, both verbal and written
  • Strong customer service and organisational skills

Tools and Software

  • Tramada travel reservation system.
  • Sabre – preferable
  • Axus itinerary App or equivalent
  • Google Suite (Docs, Sheets, Sites, Chat, Meet, Gmail)
  • Microsoft office suite (,Word & Excel)
