Property Management Assistant

At Offshore Virtual Assistants, a well-respected Australian Outsourcing company, we are looking to support our client, who single-handedly has run a successful Property management company ( residential properties) for over 12 years. Our client is committed to making their client experience as simple, stress-free and straightforward as possible. The service she delivers is paramount and this role will play an integral part in the delivery of this.

We are looking for a loyal team member – Part-time Property Management Assistant, who is caring and committed for the long term. You will play a crucial role in coordinating matters between the rental tenants and the property manager

Responsibilities

PRIMARY ROLE

– Liaising with tenants, landlords and other suppliers by email or by phone
– Ensuring vacant units are ready for new occupants
– Organising interviews and vetting prospective tenants
– Organising routine tenant inspections, notifying tenants and updating files
– Marketing the company’s properties by advertising and showing existing vacancies to prospective tenants.
– Managing lease renewals by scheduling reminders and preparing the necessary paperwork
– Keeping and maintaining records of new tenants, existing tenants and rent payments
– Collecting rent and following up on overdue rent payments
– Reporting any issues to the property manager
– Preparing regular property-status reports for relevant stakeholders

SECONDARY ROLE

Administration

– Assisting clients to document systems and procedures
– General administration support, inputting, reviewing & maintaining data
– Taking action by coordinating, tracking and following up on administration/ project tasks

OTHER DUTIES as required to assist in the growth of the company

Qualifications

– Accounting / Business Degree or equivalent (minimum 2 years experience)
– Strong English written and communication skills
– Experience in an accounts and administrative role, relevant or similar industry experience is advantageous
– You have solid computer & administrative skills, experience

Personality/ Type of Person:

– Ability to work with limited supervision
– You are a positive team player with the ability to build rapport & mutual respect with clients, suppliers & landlords
– Service-minded, eager to learn, punctual, able to follow instructions –
– A keen eye for detail by checking for completeness and accuracy, and quality assurance of your work before passing it to the client.
– Positive approach, able to work applying time management skills in a diverse range of tasks
– Part of a small team who enjoy working together, value and are accountable to each other
– High attention to detail & high level of accuracy is critical in this role.

– “Property Me” property management system
– Microsoft Suite
