Assistant Project MAnager

Offshore Virtual Assistants, a respected home-based outsourcing company in Australia, is seeking services for our client who runs a Property Development and project management consulting business focussing on planning and developing property and construction projects. We are seeking an experienced person to coordinate a wide variety of property development projects. You will report to the managing director and work in partnership with him to drive efficiency and satisfy clients.

Job Description:
The position offers an opportunity for learning and expanding upon skills and knowledge as well as exposure to the daily management of a property consulting business.

   ● Must be available to work during Australian Eastern Standard Time business hours from 9AM- 6PM AEST or 7AM-4PM Philippine time.
   ● Home-based

Roles and Responsibilities:
   ● Prepare internal project reports, schedules, updates and project meeting minutes
   ● Prepare consultant and work briefs and source fee proposals
   ● Track and monitor costs and budgets for internal reporting
   ● Prepare scope documents for minor works contracts
   ● Prepare small works contracts and consultant agreements
   ● Evaluation of acquisitions, including a compilation of due diligence material and consultant engagement
  ● Prepare and update project development feasibilities
  ● Responsible for the delivery of permits through relevant external authorities
  ● Coordinate the tendering and interviewing of external consultants
  ● Schedule land and property maintenance activities including leasing on properties prior to development
  ● Coordinate site meetings and inspections with relevant stakeholders
  ● Arrange and coordinate all consultant team meetings
  ● Prepare meeting agendas
  ● Take meeting minutes and action lists for distribution after meetings
  ● Ensure data in the systems is of the highest quality and consistency across all software tools using project management software – Asana
  ● Comply with the data protection act and corporate governance requirements

  ● Exceptional organisational skills

Tools and Software:

  ● Proficient in MS suite of software office 365 such as Word, Excel,
  ● PowerPoint, outlook, teams, OneDrive, sharepoint, etc
  ● Google Suite
  ● Zoom
  ● PDF conversion, splitting and merging
  ● Asana project management

Recommended but not essential:
  ● Xero
  ● Experience with CRM systems
  ● GoDaddy website builder
  ● Social media platforms including LinkedIn, etc
  ● Mind mapping software ie Miro
